Execution Analytics
Execution analytics show detailed information about every sequence enrollment AutoSeq has performed, helping you understand automation performance and identify issues.
Accessing Execution Analytics
- Log into AutoSeq
- Click "Analytics" in sidebar
- You'll see Execution Analytics by default
- Or click "Executions" tab if on another analytics view
Key Metrics
Total Executions
The big number at the top shows total successful enrollments for the selected time period.
What it means:
- Each execution = one contact enrolled in one sequence
- Only successful enrollments count
- Failed attempts are tracked separately
Use it to:
- Monitor usage against your plan limit
- Track automation activity levels
- Justify ROI to management
Success Rate
Percentage of enrollment attempts that succeeded.
Formula: (Successful enrollments / Total attempts) × 100
Benchmarks:
- 🟢 >95% = Excellent (normal operation)
- 🟡 90-95% = Good (minor issues)
- 🟠 80-90% = Fair (investigate errors)
- 🔴 <80% = Poor (serious configuration problems)
Growth Trend
Week-over-week or month-over-month change in execution volume.
Example:
- Last week: 120 executions
- This week: 150 executions
- Trend: +30 (+25%)
What positive growth means:
- More leads entering your workflows
- Scaling automation successfully
- May need to plan for plan upgrade soon
Executions Over Time Chart

What to Look For:
📈 Steady Growth
Consistent upward trend
Meaning: Healthy, scalable automation as your business grows
⚡ Spikes
Sudden jump in executions on specific days
Possible causes: Event follow-up, webinar registrations, marketing campaign launch
📉 Drops
Sudden decrease in volume
Possible causes: Workflow paused, form broken, seasonal lull, weekend/holiday
🔄 Patterns
Recurring weekly or monthly cycles
Example: Lower on weekends, spikes on Tuesdays after webinars
Executions by Sequence
Bar chart and table showing which sequences are getting the most enrollments.
What This Tells You:
Top sequences:
- Which campaigns are most active
- Where to focus optimization efforts
- Your most important workflows
Low-volume sequences:
- May be underutilized
- Could be candidates for deletion
- Or intentionally low-volume (VIP sequences)
Executions by Workflow
Shows which HubSpot workflows are generating the most AutoSeq enrollments.
Use This To:
- Identify high-performers: Which workflows are your best lead sources?
- Spot inefficiencies: Are some workflows barely used?
- Budget planning: Which workflows consume the most executions?
- Troubleshooting: Did a workflow stop running unexpectedly?
Example insights:
- "Contact Form Submission" workflow: 250 executions (50% of total)
- "Demo No-Show" workflow: 80 executions (16%)
- "Trial Expiring" workflow: 5 executions (1%) → Investigate low volume
Executions by Mailbox
Breakdown of enrollments by sending mailbox (including rotation-assigned mailboxes).
What to Analyze:
Distribution fairness:
- Are rotations distributing evenly?
- Is one sales rep getting too many leads?
- Are any mailboxes unused (may indicate inactive user)?
Example:
- john@company.com: 95 enrollments (38%)
- sarah@company.com: 88 enrollments (35%)
- mike@company.com: 67 enrollments (27%)
This shows reasonably fair distribution in a rotation (ideal would be 33% each).
Recent Executions Table
Detailed list of individual enrollment records.
Table Columns:
Column | What It Shows |

Date & Time | Exact timestamp of enrollment (your timezone) |
Contact | Name and email of enrolled contact |
Sequence | Which sequence they were enrolled in |
Mailbox | Sending mailbox used for this enrollment |
Workflow | HubSpot workflow that triggered the enrollment |
Status | Success (green checkmark) or Failed (red X) |
Error (if failed) | Reason for failure |
Sorting & Filtering
Click column headers to sort:
- Sort by date (newest first or oldest first)
- Sort alphabetically by contact name, sequence, etc.
Use filters to narrow results:
- Search for specific contact email
- Filter by sequence name
- Show only failures
- Select specific date range
Failed Executions
Common Failure Reasons
❌ "Contact already in sequence"
Cause: Contact is already enrolled in this sequence (HubSpot doesn't allow duplicates)
Fix: Add workflow filter to skip contacts already in sequence
❌ "Invalid email address"
Cause: Contact's email is missing or invalid format
Fix: Add workflow filter to require valid email property
❌ "Mailbox not found"
Cause: Mailbox owner was deactivated or email disconnected
Fix: Update workflow to use active mailbox or rotation
❌ "Permission denied"
Cause: Mailbox owner doesn't have access to this sequence
Fix: Share sequence with team or use owner's mailbox
Exporting Execution Data
How to Export
- Apply desired filters (date range, sequence, etc.)
- Click "Export CSV" button
- CSV file downloads automatically
What's Included in Export
- All columns from the Recent Executions table
- Only filtered results (not all historical data)
- Up to 10,000 rows per export
- Timestamps in your local timezone

- Monthly reporting: Share with sales leadership
- Billing reconciliation: Match against invoices
- Advanced analysis: Create pivot tables in Excel
- Audit trail: Keep permanent records
- Troubleshooting: Send to support with issues
Best Practices
Monitor Weekly
Every Monday, check:
- Total executions for the week
- Success rate (should be >95%)
- Any unexpected spikes or drops
- Failed executions (investigate if >5%)
Investigate All Failures
Don't ignore failed executions:
- Click on failed execution to see error detail
- Group failures by error type
- Fix root cause in workflow or configuration
- Monitor to ensure failure rate decreases
Track Top Sequences
Monitor your top 3 sequences each month:
- Are they still your highest volume?
- Has success rate changed?
- Are they approaching capacity limits?
Compare Time Periods
Look at month-over-month trends:
- Is overall volume growing?
- Which sequences are growing fastest?
- Any seasonal patterns emerging?
Troubleshooting Analytics Issues
No Data Showing
Problem: Execution analytics page is empty
Solutions:
- Check date range includes when workflows ran
- Verify workflows have actually executed
- Remove all filters
- Check you're in correct workspace
Execution Count Doesn't Match
Problem: Number seems wrong vs. HubSpot
Explanation:
- AutoSeq only counts enrollments IT performed
- HubSpot counts manual + automated enrollments
- Check "Recent Executions" table to verify each one
Can't Export Data
Problem: Export button greyed out or not working
Solutions:
- Verify you're on Starter or Professional plan (Free doesn't have export)
- Check you have results to export (apply looser filters)
- Try different browser if download doesn't start
