Analytics Dashboard

The main Analytics dashboard provides a high-level view of your AutoSeq performance:

To access:

  1. Log into AutoSeq
  2. Click "Analytics" in the sidebar
  3. View your analytics dashboard

Key Metrics at a Glance

📊 Total Executions

Total number of successful enrollments this month

Why it matters: Shows overall automation activity and usage against your plan limit

✅ Success Rate

Percentage of enrollments that succeeded vs. failed

Why it matters: High success rate (>95%) indicates healthy workflows and configurations

🔄 Active Rotations

Number of rotation strategies currently in use

Why it matters: Shows how distributed your lead assignment is

📈 Growth Trend

Week-over-week or month-over-month change in executions

Why it matters: Indicates if your automation is scaling with business growth

Types of Analytics

AutoSeq provides three main categories of analytics:

1. Execution Analytics

What it tracks:

  • Total enrollments over time
  • Success and failure rates
  • Enrollments by sequence
  • Enrollments by workflow

What it tracks:

Time Ranges & Filters

Date Range Selection

All analytics can be filtered by date range:

  • Last 7 days - Quick weekly review
  • Last 30 days - Monthly trends
  • Last 90 days - Quarterly analysis
  • This month - Current billing period
  • Last month - Previous period comparison
  • Custom range - Pick specific start and end dates

Available Filters

Narrow down your analytics view:

  • By Sequence: Show data for specific sequence(s)
  • By Workflow: Filter to specific HubSpot workflows
  • By Mailbox: See performance for individual mailboxes
  • By Rotation: Focus on one rotation strategy
  • By Status: Successful only, failed only, or both

Exporting Analytics Data

CSV Export

Export analytics data for external analysis:

  1. Apply desired filters and date range
  2. Click "Export CSV" button
  3. CSV file downloads to your computer
  4. Open in Excel, Google Sheets, or data analysis tools

CSV includes:

  • All columns from the data table
  • Filtered results only (not all data)
  • Up to 10,000 rows per export

Real-Time Updates

Analytics update frequency:

  • Execution counts: Real-time (within 30 seconds of enrollment)
  • Charts: Refresh every 5 minutes
  • Rotation distribution: Real-time
  • Performance insights: Updated daily at midnight UTC

To manually refresh:

  • Click the refresh icon (🔄) in the top right of any chart
  • Or refresh your browser page

Comparing Time Periods

Period-over-Period Comparison

Compare current performance to previous periods:

Example: Month-over-Month

  • October 2024: 450 executions
  • November 2024: 520 executions
  • Change: +70 (+15.6%)

What to look for:

  • 🟢 Positive growth = More leads being automated
  • 🔴 Negative growth = Investigate why volume decreased
  • 📊 Seasonal patterns = Plan for Q4 spikes, summer lulls, etc.

Analytics Best Practices

Weekly Review

Set aside 15 minutes every Monday to:

  1. Check total executions vs. plan limit
  2. Review success rate (should be >95%)
  3. Identify any failing workflows
  4. Check rotation distributions are fair

Monthly Reporting

At month-end:

  1. Export full month's execution data
  2. Compare to previous month
  3. Share summary with sales leadership
  4. Identify top-performing sequences
  5. Plan optimizations for next month

Set Benchmarks

Track these key metrics month-over-month:

  • Target success rate: >95%
  • Executions per sales rep: Track average
  • Most active sequence: Note top performer
  • Rotation fairness: No mailbox should have >40% unless intentional

Use Filters Strategically

Don't just look at total numbers. Dig deeper:

  • Which sequence has the best/worst success rate?
  • Which workflow is generating the most volume?
  • Which mailbox is being overused in rotations?
  • What time of month do we see peak enrollments?

Troubleshooting Analytics

Data Not Showing

Problem: Analytics dashboard is empty

Solutions:

  1. Check date range - make sure it includes period with executions
  2. Verify workflows have actually run
  3. Remove filters that might be excluding all data
  4. Refresh the page

Numbers Don't Match HubSpot

Problem: AutoSeq shows different enrollment counts than HubSpot

Explanation:

  • AutoSeq only counts enrollments IT performed via workflows
  • HubSpot counts ALL enrollments (manual + automated)
  • This is expected and normal

Export CSV Incomplete

Problem: CSV export has fewer rows than expected

Solutions:

  • Check applied filters - may be limiting results
  • Verify date range includes all desired data
  • Export is capped at 10,000 rows - split into multiple date ranges if needed
